How to summarize with AI without losing important information

An AI summary should shorten a text without changing the meaning of information you need to use. Before requesting a few lines, decide which facts, conditions and exceptions must survive.

In this exercise, work with material you can read and check yourself. The goal is a faithful synthesis, not a replacement for consulting the original when that remains necessary.

1. Define the question the summary should answer

A summary for deciding the next action differs from one for studying concepts. Specify the audience and purpose before selecting a length.

If you need to know “what changes and for whom,” make that the criterion. Avoid requesting a generic synthesis and only then trying to discover whether it serves your task.

2. Inventory the important information

List numbers, dates, conditions, responsible people and limits in the material. That inventory becomes a checklist, even when not every item appears in the final text.

Information type Review question
Number Were its unit and context preserved?
Condition Is the rule still connected to the original “if”?
Exception Did the summary create a broader rule?
Uncertainty Did a hypothesis become a certainty?

You can ask AI to help build the inventory, but check the items before treating it as a reference.

3. Provide material with clear boundaries

Separate instructions from source text and identify sections when using multiple documents. Do not rely on a vague reference to a file that was not actually supplied.

Google’s prompt strategies discuss clear instructions and context. The template below applies that principle to a summarization task.

Summarize the delimited text for someone deciding their next action.
Use up to 180 words, preserving relevant deadlines, numbers, conditions and exceptions.
Do not add external facts or fill in missing information.
Separate: central idea, essential points and questions the text does not resolve.
Then list what you omitted to fit the limit.

4. Check changes, not just fluency

Read the summary beside the original. Elegant prose can still turn a possibility into an obligation or remove an essential condition.

Connect each claim in the synthesis to its supporting passage. If you cannot find that support, correct the sentence or remove the information.

5. Adjust length consciously

When a limit is too tight, prioritize usefulness rather than deleting required facts. Request a longer version or an accompanying table when appropriate.

For long material, create labeled summaries by section before producing an overview. Pay particular attention to rules that depend on other parts of the document.

6. Deliver a reference to the original

Include the document name or source link so someone else can verify the details. Keep any recommendation of your own separate from statements in the material.

If the summary contains external references, use the source-checking workflow before passing it on.

Frequently asked questions

Is a shorter summary always better?

No. Its length should allow the information required for the purpose and audience to remain intact.

How do I stop AI from adding facts?

Limit the request to supplied material and check whether each output claim appears in or is supported by the original.

Can I summarize a long document in parts?

Yes. Label the sections, record essential points and check the final synthesis against the whole, including conditions spanning sections.
